Responsibilities

  • Patient Care: Assist with patient intake, therapy, and answering questions to ensure a positive clinic experience.
  • Office Support: Manage scheduling, patient files, phone calls, and insurance claims.
  • Chiropractor Support: Prepare treatment rooms and assist the chiropractor during patient treatments.
  • Community Outreach: Engage with the local community by representing the clinic at health fairs, wellness events, and local partnerships. Help coordinate and participate in outreach programs, educating the public on the benefits of chiropractic care.

Lead Chiropractic Assistant

staff talking with patient at front deskThe Lead CA will report to the Lead Doctor of the clinic and corporate.

As a Lead CA, you are expected to have mastered all duties of a CA. The Lead CA must show strong leadership skills, and ensure that the company vision and mission are being upheld on a daily basis by all in the clinic. You will work side by side with the Lead Doctor to ensure proper clinic flow, all tasks and job duties of the team are completed daily. You must be able to back all CA’s in the clinic and ensure your daily tasks are completed. You must be able to properly communicate (verbally and written) with management and lead doctors and bridge the gap of communication between other CAs present. All requests must be completed in a timely manner.

General Responsibilities

  • Back other clinic CA’s as needed
  • Handling and overseeing the proper completion of patient charts and personal information
  • Ensure proper collection of payments happening daily, weekly and monthly
  • Knowledgeable of Microsoft computer functions and applications (Microsoft & Excel)
  • Knowledgeable of Google applications
  • HIPAA compliant
  • Having a positive attitude at all times
  • Comply with standards & systems created by management (including scripting)
  • Handling office equipment (printer, scanner, laminator, etc.) and problem-solving with the doctor or corporate team members to resolve any operation issues
  • Oversee the upkeep (cleanliness, properly functioning equipment, etc.) of clinic

Specific Responsibilities

  • Collections check as instructed
  • Daily follow-up communication with the team and doctors reviewing collections, goals and daily task completion
  • Integrity monthly statistics
  • Cash practice efficiency and training (problem-solving here as well if there is ever any issue)
  • Upkeep of clinic passwords and login details
  • Ensuring all patients whose insurance requires authorization paperwork is completed by the patient and next steps needed happen to ensure proper insurance coverage is obtained. Also proper communication of this to the team and patients.
  • Completing authorization binder daily and weekly to ensure all patients are within their authorization time frame and visits; if not must rectify immediately.
  • Serve as go to and backer for any billing department needs or questions
  • Communicate patient record requests with corporate and doctors and make sure it is handled
  • Account Control slips
  • Collecting Balances from patients: current/dropped patients
  • Next Day Schedule
  • Insurance verifications and writing up financial policies
  • Financial presentation mastery & training of other team members
  • Role play with other team members on scripting and giving feedback to doctors and HR
  • Train as needed with team members on set systems you see needing improvement
  • Help roll out/ implement company changes or systems passed down by corporate
  • Communicate with management on system breaks and or things needed to better your clinic and team
  • Make sure all clinic computers, iPads, Office equipment software is up to date and in perfect working condition.
  • Submitting any maintenance request to human resources
  • Ensure all daily tasks are completed daily with team
  • Account audits on all new patients to ensure patient demographics have been properly and completely input
  • Patient A/R current to 60 days and proper communication here with corporate on results and or needs
  • Ordering of office supplies and inventory
  • Assist doctors with scheduling & maintaining proper staffing of clinics
  • Assist all lead CA meetings for any new systems
  • Other duties as necessary to help the team achieve goals

Corporate CA Specialist

Must be able to work in a fast-paced environment with a goal of accomplishing all tasks assigned and fulfilling job requirements. Must have basic understanding of insurance verification and application needs. Must be able to explain benefits and coverage to patients and answer any insurance related questions. This job simply involves contacting insurance companies on claims sent in if there is a discrepancy in payment. Working on claims that need to be changed to be sent in for reimbursement. The Insurance Specialist performs detailed insurance benefit verifications while effectively communicating with patients/families, physicians, and third-party payers.

Essential Functions

  • Verifying insurances and writing up/determining patient financial responsibilities.
  • Obtain/confirm patient responsibility via researching payer coverage criteria and any required prior authorization requirements.
  • Complete any authorization requirements within scope or get with doctor to complete
  • Track all patients currently under care authorizations to assist doctors/ clinic with any submission needs
  • Track tasks, review reports for accuracy and completeness, prepare and send insurance benefit verification results to healthcare providers on deadline.
  • Assist with Reporting and resolving any payer delays/challenges and/or escalated complaints
  • Strong customer service skills with the ability to effectively communicate and build rapport with clients and clinics/ team members
  • Maintain strong Knowledge of insurance policies, benefits administration, and industry regulations
  • Maintain and exude Excellent problem-solving and decision-making abilities
  • Proficient in using computer systems and software for data entry and record keeping
  • Detail-oriented with strong organizational skills to manage multiple tasks and prioritize workload
